Privacy policy

The short version

1. Information you give us

• Contact details — your name, email address, and phone number if you give one.
• Shipment details — collection and delivery locations, vehicle year, make, model, condition and any modifications, preferred dates, and whatever you write in the notes field.
• Correspondence — emails and messages you send us, kept so an agent can pick your file up where the last conversation left off.
• Shipment records — once you book: the bill of lading, the assigned carrier, dates, and the amounts paid.

We do not ask for, and you should not send through this website, payment card numbers, bank details, or Social Security numbers. This site processes no payments.

2. How the quote form actually sends your details

Worth stating plainly, because it is unusual. When you submit the quote form, the details are either posted directly to our lead system or, where that is not configured, handed to your own email program as a pre-filled message that you send. In the second case the information travels through your email provider rather than through this website, and nothing is stored on this site at all.

3. Information collected automatically

This is a static website. It sets no cookies of its own and runs no analytics or advertising scripts — see our cookie policy for the full account. Our hosting provider keeps standard server logs, which typically record IP address, browser type, the page requested, and a timestamp. Those logs exist for security and reliability, are not used to build a profile of you, and are retained only briefly by the host.

Typefaces are served by Google Fonts, which receives your IP address as part of delivering the font files. If you would rather avoid that, the site is fully readable with web fonts blocked.

4. Information from other sources

To vet carriers we look up public federal records — FMCSA operating authority, insurance filings, and safety history in the SAFER and Licensing & Insurance systems — and we request insurance certificates directly from carriers. That is information about carriers, not about you. If a lead reaches us through a third-party lead provider rather than this website, we receive from them the shipment details you gave them.

5. How we use it

To price your move, post it to carriers, arrange and manage the shipment, keep the records the law requires us to keep, and contact you about it. If you request a quote and do not book, we may follow up about that quote — ask us to stop at any point and we will.

6. Who it reaches

• The assigned carrier, which needs your name, addresses, phone number, and vehicle details in order to collect and deliver.
• Load boards, when we post the shipment to find a carrier. Postings carry route, vehicle, and date information — never your name, address, or contact details.
• Service providers we use to run the business, such as email and document signing, under their own terms and only for that purpose.
• Insurers and claims adjusters, if a claim is made on your shipment.
• Authorities and regulators, where we are legally required to disclose.
• A successor, if the business is ever sold or merged — in which case the commitments in this policy travel with the data.

We do not sell or share your personal information for advertising, and we do not pass it to third-party marketers.

7. Phone calls and text messages

Giving us your phone number on a quote form is your consent for us to call or text you about that specific shipment. We do not send marketing texts, and we do not add you to an autodialled campaign. Reply STOP to any text to stop it, or simply tell your agent. Standard message and data rates from your carrier may apply.

8. How long we keep it

Federal regulation requires a property broker to keep a record of each transaction — 49 CFR 371.3 — and we retain those records for the three years that rule specifies, and longer where tax, insurance, or claims obligations require it. Quote requests that never become shipments are kept for a shorter period and then deleted. Ask us to delete an unbooked quote sooner and we will.

9. Security

The site is served over HTTPS. Access to shipment records is limited to the people who need it to do the work, and accounts holding that data use multi-factor authentication. We take reasonable measures to protect what we hold, but no transmission over the internet is completely secure and we will not pretend otherwise.

10. Your choices

You may ask what we hold about you, ask us to correct it, ask for a copy, or ask us to delete it where we are not required by law to keep it. Email brian@milepostvl.com and we will respond within a reasonable time, and within any period the law sets. We will not treat you differently for exercising any of these rights.

11. State privacy rights

Residents of California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana and other states with comprehensive privacy statutes have rights to know, access, correct, delete, and obtain a portable copy of their personal information, and to opt out of its sale or of targeted advertising.

Two of those are easy for us to answer: we do not sell personal information and we do not use it for targeted advertising, so there is nothing to opt out of. For the rest, use the email address above and say which right you are exercising. If we cannot verify that a request comes from you or your authorised agent, we will say so rather than release data to the wrong person. If we decline a request you may appeal by replying to our response.

12. Do Not Track and Global Privacy Control

Because this site runs no tracking, there is nothing for a Do Not Track header or a Global Privacy Control signal to switch off. Should we ever add analytics, we will honour GPC signals and update this policy before doing so.

13. Children

This site is intended for adults arranging vehicle transport. We do not knowingly collect information from anyone under 18. If you believe a child has sent us information, write to us and we will delete it.

14. Links to other sites

Where we link out — to FMCSA SAFER, for instance — those sites have their own privacy practices, which we do not control and are not responsible for.

15. Where your data is handled

Milepost operates in the United States and your information is processed here. If you contact us from outside the US, you are sending your information to a country whose data protection laws differ from your own.

16. Changes

If this policy changes, the date at the top of this page changes with it.
